SFC Photography — Terms & Conditions
By booking a photography session with SFC Photography, the client agrees to the terms set out below.
A booking is only confirmed once the agreed booking fee or deposit has been paid, unless otherwise agreed in writing.
Dates cannot be held without payment of the agreed booking fee/deposit. Until payment is received, the date remains available to other clients.
The details of the shoot, including date, time, location, package, price and any specific requirements, will be agreed before the booking is confirmed.
A booking fee or deposit may be required to secure your date.
This payment covers the reservation of the date, administration, preparation, planning and any loss of other work if the date is later cancelled.
Unless otherwise agreed in writing, the booking fee/deposit is non-refundable once the 14-day cooling-off period has passed, or once work has begun at the client’s request.
For bookings made online, by phone, email, message or away from business premises, clients may have a 14-day cooling-off period from the date of booking.
If the client requests that work begins within this 14-day period, including shoot preparation, travel arrangements, the shoot itself, editing or gallery preparation, the client agrees that reasonable charges may apply for work already carried out.
If the full service has already been completed within the 14-day period at the client’s request, the right to cancel may no longer apply.
All prices will be confirmed before booking.
The remaining balance must be paid by the due date stated on the invoice, booking form or written agreement.
For weddings, ceremonies and larger events, the final balance may be required before the event date. The exact due date will be confirmed at the time of booking.
No final edited images, galleries or downloads will be released until payment has been received in full.
Late payment may delay delivery of the final gallery.
If the client needs to cancel, they must inform SFC Photography as soon as possible in writing by email, message or another agreed method.
Cancellation terms may vary depending on the type of shoot, but generally:
-The booking fee/deposit is non-refundable once the cooling-off period has passed.
-If cancellation takes place close to the shoot date, further charges may apply if work has already been carried out or the date could not reasonably be rebooked.
-Any refund of payments beyond the booking fee/deposit will be considered fairly, depending on the notice given and work already completed.
SFC Photography understands that unexpected situations happen.
Where possible, the client may request to reschedule their shoot. Rescheduling is subject to availability.
If a shoot is rescheduled with reasonable notice, the booking fee/deposit may be transferred to a new date at the photographer’s discretion.
Repeated rescheduling or last-minute changes may result in an additional fee.
In the unlikely event that SFC Photography is unable to attend due to illness, emergency, accident, equipment failure or circumstances beyond reasonable control, every effort will be made to rearrange the shoot.
If the shoot cannot be rearranged, any payments made for services not yet provided will be refunded.
SFC Photography will not be liable for additional costs, losses or expenses beyond the amount paid by the client.
For outdoor sessions, weather conditions may affect the shoot.
If the weather is unsafe or unsuitable, SFC Photography may suggest rescheduling to another available date.
Light rain, wind, cold weather or cloudy conditions do not automatically mean the shoot will be cancelled. This will be discussed depending on the type of shoot and location.
Clients should dress appropriately for the weather and location.
The client is responsible for arriving on time and ensuring all participants are ready at the agreed shoot time.
If the client is late, the session may still end at the original agreed time. Additional time is not guaranteed and may be charged separately.
The client is responsible for ensuring children, pets, guests or other participants are supervised and behave safely during the shoot.
For events, weddings or venues, the client is responsible for ensuring that photography is allowed at the location and that any necessary permissions have been obtained.
Children and animals can be unpredictable, and SFC Photography will always do their best to capture natural, beautiful images.
However, no specific pose, expression, behaviour or shot can be guaranteed.
Parents, guardians and owners are responsible for the safety and behaviour of children and animals at all times during the shoot.
By booking SFC Photography, the client confirms that they have viewed the photographer’s previous work and understand the general editing and shooting style.
Photography is creative and subjective. Final images will be edited in line with the photographer’s professional judgement and style.
The client may request specific shots or ideas, and SFC Photography will do their best to accommodate them, but no particular image, pose or moment can be guaranteed.
All final images will be professionally edited at the photographer’s discretion.
Standard editing may include adjustments such as colour, exposure, contrast, cropping, sharpening and basic image correction.
Extensive retouching, background changes, object removal, body alterations, face swaps, advanced Photoshop work or additional edits requested after delivery may incur an additional charge.
Unedited RAW files are not included and will not be supplied.
Final galleries will be delivered digitally, usually by online gallery, download link, WeTransfer or another agreed method.
Delivery times vary depending on the type and size of shoot. An estimated turnaround time will be provided, but this may be affected during busy periods.
SFC Photography will always aim to deliver galleries as quickly as possible while maintaining quality.
Once the final gallery has been delivered, the client is responsible for downloading, saving and backing up their images.
SFC Photography will make reasonable efforts to store galleries for a limited period, but long-term storage is not guaranteed.
Clients are strongly advised to save their images in more than one place.
Copyright of all images remains with SFC Photography unless otherwise agreed in writing.
The client receives a personal licence to download, print and share the final edited images for personal use.
Images must not be edited, filtered, altered, sold, entered into competitions, used commercially or supplied to third parties without written permission from SFC Photography.
For business, branding or commercial shoots, image usage will be agreed separately depending on the purpose of the shoot.
Clients are welcome to share their final images on social media.
Where possible, credit to SFC Photography is appreciated.
Clients must not apply filters, heavy edits or alterations to the final images when sharing them publicly, as this may misrepresent the photographer’s work.
SFC Photography may request permission to use selected images for portfolio, website, social media, advertising, competitions or promotional purposes.
Images of clients, children, private events or sensitive moments will not be shared publicly without appropriate permission.
If the client does not wish for any images to be used publicly, they must inform SFC Photography in writing.
SFC Photography will always respect privacy requests, especially where children, vulnerable individuals or private events are involved.
SFC Photography may collect personal information such as names, contact details, addresses, booking information and photographs in order to provide photography services.
This information will only be used for legitimate business purposes, including communication, booking management, image delivery, payment records and agreed marketing or portfolio use.
Client information will not be sold or shared unnecessarily with third parties.
Some venues, churches, schools, events or private locations may have rules about where photography is allowed.
SFC Photography will follow venue rules and cannot be held responsible for missed images caused by restrictions, poor lighting, lack of access, delays or instructions from venue staff or event organisers.
The client is responsible for making SFC Photography aware of any rules, restrictions or important details before the shoot.
For weddings and events, SFC Photography will do their best to capture key moments, details and requested shots.
However, photography depends on timing, lighting, cooperation of guests, access, weather and the natural flow of the day.
SFC Photography cannot guarantee every guest, moment or requested image will be captured.
The client is encouraged to provide a short list of important group shots or must-have photographs before the event.
If the client has any concerns with their final gallery, they should contact SFC Photography as soon as possible.
Reasonable amendment requests will be considered. Minor editing adjustments may be made at the photographer’s discretion.
Requests based on personal taste, change of mind, or editing outside the agreed style may incur an additional fee.
SFC Photography will take reasonable care when photographing, editing, storing and delivering images.
However, liability is limited to the amount paid by the client for the affected service.
SFC Photography is not responsible for circumstances outside reasonable control, including bad weather, illness, venue restrictions, guest behaviour, equipment failure, accidents, data loss despite reasonable backup efforts, or events preventing attendance.
SFC Photography will not be liable for failure to provide services due to circumstances beyond reasonable control, including but not limited to illness, accident, severe weather, fire, flood, transport disruption, venue closure, emergency, government restrictions or other unexpected events.
Where possible, the shoot will be rearranged.
By paying the booking fee/deposit, confirming a booking in writing, or attending the shoot, the client confirms that they have read, understood and agreed to these Terms & Conditions.
